About the role 

A great opportunity awaits for an enthusiastic and motivated clerk to join the Adult Specialist Clinics administrative team. The Adult Specialist Administration Coordinator is an integral part of the team that supports the daily management of clinics and referrals. 

We are seeking a candidate that has great customer service skills, an eye for detail, good computer skills, and is driven to learn and develop in a fast-paced environment. 

This is a great opportunity to be part of a busy team, providing support to a variety of stakeholders including clinicians, administration, patients and their families in addition to GP's and external stakeholders. 

Key responsibilities: 

  • Support the Adult Specialist Clinics Manager to progress initiatives against the Outpatient Roadmap, the strategic vision of Western Health and divisional business plan objectives in outpatient reform

  • Support ASC project leads to achieve successful project goals within specified timeframes  

  • Co-facilitate initiatives with ASC Leadership Team where directed to ensure completion within specified timeframes  

  • Undertake own portfolio of initiatives to improve access and service development within specified timeframes  

  • Work with relevant others to provide a response to the findings in support of improvement initiatives  

  • Provide support to ensure robust evaluation of initiatives (including development and implementation of project evaluation tools and measures, reporting on the outcomes)  

  • Work with relevant others to develop and implement robust sustainability plans  

  • Develop materials and avenues to promote and showcase ASC improvement successes  

About you: 

  • Thorough data entry skills 

  • High standard of customer service skills 

  • Ability to work in a fast-paced environment with competing demands 

  • High level of communication and interpersonal skills including report writing and ability to explain information in a simple way to a variety of audiences  

    • Ability to develop, implement and evaluate improvement activities in a timely manner  

    • Ability to analyse data with the goal of discovering useful information, informing conclusions, and supporting decision-making  

    • Proficient in Microsoft Advanced Excel, Visio, Word and PowerPoint  

    • Proficient with iPM including competent knowledge of Specialist Clinics administrative processes  

    • Be innovative, resourceful and adaptable to change   

    • Ability to learn, understand and implement Lean, A3 and project management principles and tools  

    • Demonstrated ability to learn on the job as initiatives unfold  

    • Previous experience in Specialist Clinics or similar setting
