About the Role:
We are seeking a dedicated and professional Administration Clerk to join our team at Sunshine’s Medical Ambulatory Day Unit (MADU), with expectation to also cover at Footscray Hospital, when required.
We are a Medical Ambulatory Day Unit that operates Monday to Friday and are seeking someone familiar with maintaining waitlists and patient appointments.
This role is integral in providing high-quality customer service and administrative support within the ward/department. As an Administration Clerk, you will be the first point of contact for patients, families, and visitors, ensuring a welcoming and efficient environment.
The successful candidate will be responsible for managing reception duties, patient information, medical records, and clerical tasks to support the patient journey. Key Responsibilities:
- Provide a professional and courteous service to patients, families, and staff.
- Ensure accurate collection, entry, and maintenance of patient information in relevant systems.
- Manage admissions, transfers, and discharges in a timely and accurate manner.
- Efficiently maintain waitlists/appointments.
- Maintain and update patient medical records, ensuring confidentiality and compliance with hospital policies.
- Answer telephone calls professionally and direct inquiries appropriately.
- Support communication within the ward by paging staff, coordinating interpreters, and assisting with patient transfers.
- Work collaboratively with nursing and medical staff to facilitate smooth ward operations.
- Participate in quality improvement initiatives and training programs.
About You:
- Experience with IPM, EMR, and BOSSnet software systems.
- Proficiency in waitlisting patient admissions.
- Highly developed customer service and communication skills.
- Strong ability to multi-task and prioritise duties in a fast-paced environment.
- Excellent computer and keyboard skills.
- Availability Monday to Friday.
- Ability to adapt to change and work flexibly.
- Effective team collaboration and problem-solving skills.
- Strong written and verbal communication skills.
- Knowledge of medical terminology (desirable).
- Previous experience in a similar clerical or administrative role within a healthcare setting (desirable).
