About the role
Join a dynamic public health team as the Business Systems Coordinator, leading the enhancement of business systems and operational processes to support efficient service delivery. This pivotal role oversees administrative functions, drives workflow improvements, and supports project management across the unit. Working closely with senior leadership, you’ll prepare strategic reports, contribute to business planning, and act as a key liaison for internal and external stakeholders.
About the Western Public Health Unit
The Western Public Health Unit (WPHU) is one of three metropolitan Local Public Health Units (LPHUs), and alongside six regional LPHUs forms a collaborative Network to deliver frontline public health for Victoria. The LPHU Network works closely with the Victorian Department of Health to provide for local and regional responses to communicable and non-communicable diseases through community partnerships and local public health initiatives. Led and coordinated by Western Health, WPHU serves over 1.3 million people across the local government areas of Brimbank, Hobsons Bay, Maribyrnong, Melbourne, Melton, Merri-bek, Moonee Valley and Wyndham. WPHU investigates and manages cases and outbreaks of notifiable conditions under the Public Health and Wellbeing Act 2008 in collaboration with the Department’s Community and Public Health Division, manages public health risks and supports public health emergency responses. WPHU collaborates with local governments, community health networks, and primary care providers to improve health outcomes across its catchment, working to keep people well by leading and supporting practical population health action.
Key responsibilities:
- Lead improvements to business systems and processes to enhance efficiency and ensure policy compliance.
- Supervise the Administrative Officer and manage administrative workflows through effective delegation.
- Support the implementation and monitoring of project management frameworks across the unit.
- Prepare strategic reports and dashboards to inform senior leadership and support decision-making.
- Act as a key liaison for internal and external stakeholders, ensuring timely and professional communication.

- You are a proactive and solutions-focused professional with experience in business systems coordination, process improvement, or operational support.
- You bring strong leadership skills, having successfully supervised staff and managed workflows in dynamic environments.
- Your analytical mindset is complemented by proficiency in tools like SharePoint and Power BI, enabling you to deliver clear, data-driven insights.
- You communicate effectively with stakeholders at all levels and thrive in collaborative settings.
- With a solid understanding of project management principles, you’re confident supporting planning and delivery across teams while maintaining a focus on efficiency, compliance, and service excellence.
