Project: 

Reporting directly to the Project Manager within the Project Delivery Office, this role provides comprehensive project officer and administrative support to the Director of Digital Health, the Project Delivery Office team, and senior managers of the Digital Health Division.


The responsibilities of this role span several key areas of work, as outlined below:

Administration

  • Manage diaries, process leave requests, and coordinate team meetings.
  • Assist with the preparation of project reports, briefs, and documentation formatting.
  • Audit and maintain divisional team resources and registers.
  • Perform secretariat duties for Digital Health and Governance meetings.
  • Respond to enquiries and oversee resource coordination for the division.

 

Recruitment

  • Coordinate recruitment campaigns across Digital Health teams, ensuring comprehensive and confidential documentation.
  • Manage onboarding and offboarding processes and associated documentation.
  • Act as the primary liaison between the Digital Health team and Western Health’s People and Culture team.

 

Project Management

  • Prepare project reports, briefs, and maintain project documentation.
  • Coordinate resources and monitor project plans to support timely and successful delivery.
  • Organise auditing sessions and reports to ensure adherence to timelines, budgets, quality standards, and project scope, aligning with established project management methodologies.

 

Stakeholder Engagement

  • Facilitate effective communication with key stakeholders.
  • Coordinate working groups, committees, and consultations to ensure the exchange of information and alignment with project plans.

 

Finance & Procurement

  • Manage procurement requests using Western Health’s procurement system.
  • Process invoices and maintain accurate documentation and audit trails in compliance with finance procedures.
  • Assist with the preparation and submission of business cases as required.

 

Note: The allocation of time across these portfolios will remain flexible to accommodate evolving business and project priorities.
