About the role

Join our dynamic and fast-paced team at Western Health as a Roster and Operations Coordinator. We are seeking a proactive and experienced individual who thrives in a high-pressure environment to support our Junior Medical Staff (JMS) across multiple campuses. If you have experience managing rosters, maintaining staff schedules and working with stakeholders to ensure smooth operations, we want to hear from you.

 

In this role, you will be responsible for:

  • Roster Design & Implementation: Developing, maintaining and updating JMS rosters to meet clinical needs, ensuring all leave (sick, annual, etc) is covered efficiently.
  • Operational Support: Actively managing leave requests, absentee replacements and ensuring staffing levels meet the needs of clinical units on a daily basis.
  • Timesheet Management & Payroll: Overseeing timesheets, ensuring accurate processing and assisting with payroll queries promptly.
  • Collaboration with Clinical Leaders: Working closely with Heads of Units, Clinical Service Directors and Divisional Directors to ensure rosters meet clinical needs while prioritising the wellbeing of staff.
  • Continuous Improvement: Contributing to the enhancement of our rostering processes, policies and staff engagement.

 

What We’re Looking For:

  • Roster Experience: You have hands-on experience in designing, implementing and managing complex rosters, preferably in a healthcare or hospital setting.
  • Attention to Detail: Accuracy is key. You will be meticulous in managing schedules, timesheets and leave, ensuring smooth and safe operations.
  • Adaptability: You thrive in a fast-paced, sometimes chaotic environment and can quickly respond to unplanned leave, staffing shortages and urgent operational needs.
  • Team Leadership: Experience in leading or supervising a team would be beneficial, with a proven ability to collaborate across departments and maintain a positive, energetic work culture.
  • Communication Skills: You will work closely with staff at all levels, so excellent verbal and written communication skills are a must.
  • Positive Attitude: We’re looking for someone who brings energy, enthusiasm and a solution-focused approach to the team. A positive mindset is crucial to keeping operations running smoothly.

About the Department

The Medical Workforce Unit (MWU) is a dynamic, high-impact team that plays a pivotal role in supporting over 2,000 doctors across our growing health service. The unit provides both strategic direction and hands-on operational expertise in all areas of medical workforce management, including workforce planning, recruitment, credentialing, contracting, rostering and onboarding. 

 

Team members are part of a specialised team that works closely with hospital leadership, clinical departments and external partners to support the future of healthcare delivery in Melbourne’s West.
